1. Who We Are

Mom's Cooking (Private Chef Services) and Kaos Modularity Portal (Software Services) are operated by Kaos Modularity, based in Amsterdam, the Netherlands.

2. What Data We Collect

When you submit a private chef enquiry form on this website, we collect:

• Full name and email address
• Phone number (optional)
• Home location / neighbourhood
• Number of family members and ages of children
• Dietary requirements and allergy information
• Service preferences, time slots, and budget range

When you request access or register as a user on the Kaos Modularity Software Portal, we collect:

• Business Name, official KVK number, and BTW-id (VAT number)
• Account login identifiers (Magic Link tokens)
• Billing preferences and configuration data
• Third-party API credentials provided by you (e.g., e-Boekhouden API keys)
• Client contracts or business documents uploaded by you in PDF format

3. Why We Collect It

Your data is collected solely to:

• Respond to your booking enquiries or software access requests
• Verify official business entity status via the Dutch KVK register
• Deliver custom, modular CRM and invoicing services tailored to your account tier
• Enable secure execution of integrated business automation tools

The legal basis for processing private client data is your explicit consent (GDPR Art. 6.1.a). The legal basis for processing software portal data is the performance of a contract or steps taken prior to entering into a contract (GDPR Art. 6.1.b).

4. How Your Data Is Processed

Form submissions and internal portal architectures are processed securely through Cloudflare Workers and stored in a private Cloudflare D1 database ecosystem (Cloudflare Inc., USA).

Depending on the modular software settings you actively connect to your account, data is securely transmitted via API endpoints directly to:

• e-Boekhouden.nl (for automated accounting and invoice transmission)
• Stripe Inc. or Mollie B.V. (for real-time iDEAL and payment gateway operations)

All uploaded client contracts (PDFs) are isolated and encrypted within our private cloud infrastructure. Your data is never sold, shared with third parties for promotional marketing, or used for purposes outside your active features.

5. How Long We Keep Your Data

We retain administrative and chef booking records for up to 2 years following your last interaction. Software portal accounts, CRM histories, and uploaded PDF contracts remain securely stored for the duration of your active subscription, and will be permanently purged from our Cloudflare D1 environment within 30 days of an account closure request.

6. Your Rights (GDPR)

Under the General Data Protection Regulation, you have the right to:

• Access – request a copy of the data we hold about you
• Rectification – ask us to correct inaccurate data
• Erasure – request deletion of your personal data
• Restriction – ask us to limit how we use your data
• Portability – receive your data in a machine-readable format
• Objection – object to processing based on legitimate interests

You also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

7. Cookies

This platform uses strictly necessary technical session cookies to handle user authentication, protect data transmissions, and validate your secure Magic Link login. We do not deploy any third-party marketing, analytics trackers, or user behavioral tracking cookies.

8. Changes to This Policy

We may update this policy as our modular features expand. The date at the top of this page reflects the most recent revision. Continued use of the platform constitutes acceptance of the updated policy.
